Waste Desk terms
1. What the Waste Desk is
The Waste Desk (full name: Golf Course Waste Desk) is a communication and record-keeping service for golf courses. It lets a course record container fill checks, track scheduled pickups, log completed pickups, and send numbered work orders to its own waste haulers, and it lets those haulers confirm work orders back. That is the whole service.
2. Your hauler is the provider of record
Waste collection is provided by the hauler you contract with — not by the Waste Desk. Your hauler sets its own prices, schedules, and service terms, runs the truck, and bills you directly under your own agreement with them. The Waste Desk is not a party to your hauling contract, does not resell, broker, or arrange waste collection service, and does not guarantee any hauler's performance, schedule, or pricing.
3. The Desk never hauls, and never takes waste-service money
The Waste Desk does not collect, transport, or dispose of waste, and it does not collect payment for waste service — not from courses, and not from haulers on a course's behalf. Any invoice for hauling is between you and your hauler, paid the way you already pay it. If the Desk ever offers separate products (for example, fill-level sensors or marketplace equipment), those are sold as their own products under their own terms; they are never a charge for hauling.
4. Free for golf courses
The Desk — the board, the fill checks, the pickup record, and work orders — is free for golf courses to use. No account is required; your course profile and your board live on your own device.
5. Work orders and the shared record
When you create a work order, it is stored in a shared record kept by the Desk and identified by its order number (for example, WD-20261018-1234) together with a private key. The order email your hauler receives contains a private link carrying that key. Anyone who has the link can view the order and answer it (Accept, On the way, Done, or a short reply), so treat the link like a key: send it only to the hauler the order is for, and do not post it publicly. The course and the hauler for that order can both see the order, its status, and its replies.
6. Records are only as accurate as the entries
The Desk records what is entered into it: fill checks by your crew, pickups you log, orders you send, and answers your hauler taps. The Desk does not independently verify that a container was at the level checked, or that a truck came when a pickup was logged — entries depend on the people making them, and timestamps reflect when an entry was made. A Desk record is a communication log, not a certified scale ticket, manifest, or proof of service. Keep your hauler's own service records and invoices as your official documentation.
7. Sensors
The Desk is built to work with fill-level sensors. Sensors are optional, are not required to use the Desk, and are offered only as and when sensor partnerships are announced on this site. A sensor reading is an estimate of container fill level; it does not change your hauling contract, and decisions about extra pickups and their charges remain between you and your hauler.
8. Names and marks
The Waste Desk™, Golf Course Waste Desk, and The Waste Desk Workflow™ are trademarks of Stearns Mole Community, first used in commerce on October 18, 2026. Hauler names mentioned on this site (including Waste Pro, Waste Management, Republic Services, and Waste Connections) are trademarks of their respective owners; naming a hauler means only that courses commonly contract with them — it is not an endorsement by, or of, the Waste Desk.
9. Changes
These terms may be updated as the service grows. The version on this page is the current one; material changes will be noted here with their date. Last updated October 18, 2026.
Privacy, plainly
Your board stays on your device. Your course profile, container list, fill checks, and pickup log are stored in your browser's local storage on the device you use. The Desk does not receive them, and clearing your browser data clears them.
Work orders are shared on purpose. When you create a work order, the order details you enter — course name, contact, container, type, priority, notes — are stored in the Desk's shared record so your hauler can open and answer it from the private link, and so their answer can come back to your board. Don't put anything in an order you wouldn't put in an email to your hauler.
No accounts, no ads, no sale of data. The Desk has no sign-up and no advertising. We do not sell personal information. Order details are used to run the service — showing the order to the course that sent it and the hauler it was sent to — and for nothing else.
Email. Work-order emails are composed in your own mail app, from your own address, when you tap “Email hauler.” The Desk does not send email on your behalf and does not keep a copy beyond the shared order record itself.
